How to email NYC real estate agents without landing in spam

Real estate agents are some of the busiest inbox owners on the planet — they get hundreds of pitches a week. Your outreach is fighting not just Gmail's spam filter, but an agent's trained eye for copy-paste garbage.
Here's what actually works, based on helping operators send tens of thousands of emails into the NYC broker pool. Three parts: infrastructure, cadence, and copy.
1. Infrastructure — before you send one email
If you skip this, none of the rest matters.
- Use a subdomain. Send from
outreach.yourcompany.com, notyourcompany.com. If the outreach domain gets flagged, it doesn't burn your main domain's customer emails. - Set SPF, DKIM, and DMARC. Non-negotiable. SPF tells Gmail your ESP is allowed to send on your behalf. DKIM signs the email cryptographically. DMARC tells Gmail what to do when either fails. Missing any one of these drops your inbox rate by ~30%.
- Add the unsubscribe header.
List-Unsubscribe+List-Unsubscribe-Post. Gmail rewards this heavily — they understand you're being respectful and inbox you more often.
2. Cadence — how fast to ramp
Every new sending domain is on probation with Gmail for about two weeks. Send 100 emails from a cold domain and half of them land in spam. Here's a four-day warmup that works for almost any size operator:

3. Copy — what actually gets opened

- Referral mention if you have one. “{mutual} suggested I reach out.”
- Specific listing reference. “Your {building name} listing — quick ask.”
And three openers that always underperform: “Hope this finds you well,” “I'm reaching out to,” and anything with “partner” or “synergy.”
4. Respect the list
The fastest way to burn your domain reputation is to ignore opt-outs. Process unsubscribes within 24 hours, keep a suppression list, and don't send to anyone who's asked you to stop. This also keeps you compliant with CAN-SPAM (US), CASL (Canada), and GDPR (EU) if any of those apply to you.
